What a FirstVisit letter looks like
Here's an example of a letter to a newly opened café, printed on one side of A4 and posted in the pest-control firm's name. The firm approves the wording and the list before anything is posted. Real letters use the firm's own letterhead, details and offer.

Welcome to Anytown, and a free pest survey for Sample Street Café
Dear Owner or Manager,
Congratulations on opening Sample Street Café, and welcome to the area. Starting a new food business is a big step, and we hope your first months go really well.
We're Example Pest Services Ltd, a local pest-control firm based in Anytown. Having a simple pest-prevention plan in place from the start is one less thing to think about, so we'd like to offer you a free, no-obligation site survey. In about 30 minutes, one of our technicians can:
take a look around and point out any likely entry points;
talk you through a sensible prevention plan for a café like yours;
leave you a short written summary to keep with your food safety records.
There's no charge and no pressure to sign anything. If you'd rather just have a quick word for some advice, give us a call. We're always happy to help.

Alternative paragraph
For a business with a low hygiene rating (0 to 2)
For these businesses, the welcome paragraph is replaced with a gentler one. It never mentions the rating, the score or a reason, and it doesn't assume anything is wrong:
We're Example Pest Services Ltd, a local pest-control firm working with cafés, restaurants and other food businesses across Anytown. If you're preparing for a re-inspection, or would simply like a fresh pair of eyes on your premises, we'd be glad to help. Many businesses find it useful to have a clear pest-prevention plan and up-to-date records in place, and we can help you put that together without any fuss.
The rest of the letter stays the same: the free survey, the QR code and short link, who the letter is from and how to stop letters.
What every letter does, and doesn't do
Says clearly who it's from, and how to stop letters
Offers a free survey or advice, with no pressure
Never implies a link with a council, the Food Standards Agency or an inspector
Never quotes a hygiene rating, guesses at pests or suggests why a rating is low
Sent by post only. We never email or phone the businesses we write to
