Privacy notice

This notice explains what personal data FirstVisit uses, where it comes from, why we use it and your rights. We don't use advertising or analytics cookies. Our enquiry form uses Cloudflare Turnstile to block spam.

Who we are

The controller is Simon Kirtland, trading as FirstVisit, 70 Harvey Road, Farnborough GU14 9TW. Email: hello@yourfirstvisit.co.uk.

Trade firms we contact

We contact local trade firms, such as commercial pest-control firms, about our service. We use their business contact details (firm name, business email address and phone number, and sometimes the name of a contact) taken from the firm's own published website and business directories. We also check a firm's company details on Companies House.

We use these details to send one or a few business emails about FirstVisit. Our lawful basis is legitimate interests: telling businesses about a service that may be useful to them. Our emails are handled by our email provider, Zoho.

If you reply STOP, or ask us not to contact you, we won't contact you again and we add you to our do-not-contact list.

Client firms

If your firm signs up, we use your contact and billing details, your letterhead and letter wording, and the evidence of qualifications and insurance you send us, to deliver the service and manage your account. Our lawful basis is our contract with you, and our legal duty to keep tax records.

Payments are taken by Direct Debit through a payment provider, so we don't see or store your full bank details.

Food businesses we write to by post

On behalf of our client firms, we write by post to food businesses that have just opened or have a low food hygiene rating. We use the business name, premises address, type of business and food hygiene rating information, taken from public food hygiene rating records and other public registers. We check each address and leave out businesses that appear to be run from home.

We use these details to prepare and post letters in the client firm's name, offering its services. The client firm approves the list and the wording first. We never put a hygiene rating in a letter, and we never email or phone these businesses. Our lawful basis is legitimate interests: helping local firms offer relevant services to businesses that may need them. We print and post the letters through a print-and-post provider.

Each letter explains how to opt out. If a business opts out, we add it to our do-not-contact list and don't write to it again. A client firm may also tell us the business names of any new customers who came from its letters; we use these only to take those businesses off future letters and to show the firm its results.

Our website

The site is hosted by Cloudflare. To see how our pages are used, including the pages we make for client firms, we count visits and clicks on the “Visit their website” button using Cloudflare Web Analytics. It doesn't use cookies and doesn't build a profile of you.

If you email hello@yourfirstvisit.co.uk, we use your name, business details and message only to reply to you and to send anything you asked for, such as an area snapshot. We keep enquiry emails for up to 12 months unless you become a customer, and we never sell your details.

The enquiry form

If you use the enquiry form, we collect your name, firm name, email address, phone number (if you give it), the council area or areas you want, any message you add, and your agreement to this notice.

We use these details only to reply to you, check whether your area is still available and send your area snapshot. Our reason for using them is that you asked us to.

The form is run on Cloudflare, which acts for us. When you press send, Cloudflare checks the form isn't spam (using its Turnstile check, which looks at technical details such as your IP address and browser) and turns your enquiry into an email to our inbox. Cloudflare's privacy policy is at cloudflare.com/privacypolicy.

The website itself doesn't keep a copy of your enquiry. It exists only as an email in our inbox, and we keep it for up to 12 months unless you become a customer.

How long we keep data

We keep details of firms we have contacted, and our lists of food businesses to write to, for up to 12 months. We keep the do-not-contact list for as long as we operate, with only the details needed to make sure we don't contact you again. We keep client records for as long as you're a client, and accounting and tax records for 6 years.

Our providers (Zoho, Cloudflare, our payment provider and our print-and-post provider) act on our instructions. We never sell personal data.

Some of our providers may process data outside the UK. Cloudflare's data processing terms include the UK's approved international data transfer addendum, and Zoho says its transfers are covered by the data protection agreements UK law requires.

Your rights

You can ask for a copy of your data, ask us to correct or delete it, object to our use of it, or tell us to stop contacting you at any time, by emailing hello@yourfirstvisit.co.uk. If you object to marketing, we will stop. You can also complain to the Information Commissioner's Office: ico.org.uk, 0303 123 1113.
